The rules governing registration, ticket purchases, payments, admission and attendance in connection with the Baku ID innovation event.
About us
These Terms and Conditions (the “Terms”) set out the principal rules governing registration, ticket purchases, payments, admission and attendance in connection with the Baku ID innovation event (the “Event”), organised by “SABAH Academy” LLC, TIN 1406019771 (the “Organizer”, “we”, “us” or “our”).
These Terms apply to each edition of the Event and to the relevant relationships arising through https://bakuid.com/, ticketing and registration systems authorised by us, electronic tickets, registration confirmations and our other official channels.
In these Terms, the person purchasing a ticket is the “Purchaser” and the person attending the Event is the “Attendee”. Depending on the context, “you” refers to the Purchaser, the Attendee or both.
By purchasing a ticket, completing and submitting a registration, accepting a ticket purchased or issued for you, or entering the Event, you confirm that you have read these Terms and agree to comply with the provisions applicable to you. Where a ticket is purchased for you by another person or organisation, your attendance at the Event remains subject to these Terms.
2. Organizer and third-party services
2.1. We organize the Event. We may use third-party service providers to support ticketing, registration, payment and other technical processes. Those service providers perform only the services entrusted to them and do not become organizers of the Event.
2.2. We may use third-party ticketing and registration services for the technical operation of ticket sales and electronic registration, the organisation of attendee data, the creation of electronic tickets, QR codes and other admission credentials, and related technical support. Ticket categories, prices, registration requirements and other commercial conditions relating to the Event are applied as determined or approved by us.
2.3. We may use third-party payment service providers to process card and other electronic payments. Those providers may apply their own rules concerning payment acceptance, authentication, processing, security and other technical matters.
2.4. The terms of use and privacy notices of third-party ticketing, registration and payment service providers may apply to the services they provide. However, ticket categories and prices, admission rules, cancellation or postponement of the Event, and refund conditions are determined by these Terms, the relevant ticket sales page and our official communications.
3. Registration and ticket purchase
3.1. You must provide accurate, complete and up-to-date information when registering or purchasing a ticket. If you purchase a ticket or register another person, you confirm that you are authorised to do so and that you have informed that person about these Terms and the Privacy Policy.
3.2. The ticket category, price, applicable taxes and any other amount payable by the Purchaser are displayed on the ticket sales page before the order is submitted. No additional charge that has not been separately accepted by the Purchaser or required by law will be imposed afterwards.
3.3. A ticket purchase is treated as confirmed when the order has been accepted and the Purchaser has received an electronic ticket, order confirmation or other electronic confirmation. For a paid ticket, such confirmation is generally issued after successful completion of payment.
3.4. If payment fails, is reversed or refunded, a payment dispute arises, or there is a reasonable suspicion of fraud, unauthorised use or other misuse, the Organizer may suspend the ticket while the matter is reviewed and may cancel it where permitted by applicable law.
3.5. The Organizer may change ticket categories, prices and sales conditions for future sales. Such changes do not affect the price of a ticket already confirmed and do not apply retrospectively to previous purchases unless applicable law or the terms of a particular campaign provide otherwise.
4. Ticket use, validity and resale
4.1. A valid electronic ticket or registration confirmation entitles the Attendee to enter and attend the Event only within the access included in the relevant ticket category. Unless a reserved seat is expressly stated on the ticket, a ticket does not guarantee a seat in any particular session, stage or area; access may be subject to capacity, safety and operational requirements. Unless expressly included in the ticket package, the ticket does not include travel, accommodation, visa, insurance or other third-party services.
4.2. A ticket is valid only for the Attendee named in the registration and is non-transferable. A ticket, QR code or other admission credential must not be provided for use by another person, duplicated, counterfeited or used to enable more than one person to exercise the same right of admission. Unless we expressly agree otherwise, tickets will not be reissued or reprinted.
4.3. Commercial resale or offering for resale, speculative pricing, use of a ticket in an unauthorised promotion, competition or other promotional activity, or fraudulent acquisition of a ticket is prohibited. In such cases, we may cancel the ticket and refuse admission to the extent permitted by applicable law.
4.4. The Purchaser and Attendee are responsible for keeping the ticket, QR code, barcode and other admission credentials secure. Any loss, disclosure or suspected unauthorised use of admission credentials should be reported promptly to us or the relevant ticketing and registration service.
5. Refunds
5.1. Unless otherwise expressly stated by us or required by applicable law, tickets are non-refundable and payments made for tickets are final.
5.2. Where a refund is required by applicable law or we make a refund available in a particular case, the applicable process and conditions will be communicated through our official channels.
5.3. Where a right to a refund applies, a request should be submitted to info@bakuid.com or through the official contact channel stated on the ticket sales page and should include the ticket or order number and the contact information necessary to identify the order.
5.4. Unless applicable law provides otherwise, a change of mind, personal schedule, inability to attend, transport or accommodation difficulties, work commitments, refusal of a visa application or other personal circumstances do not create a right to a refund.
5.5. Where a refund applies, the amount will generally be returned to the original payment method. Technical processing by a bank, card scheme or payment service provider may affect the time at which the refunded amount appears in the relevant account.
6. Cancellation, postponement and programme changes
6.1. The Organizer may make changes to the Event programme, session times, speakers, partners, exhibitors, venue layout and other operational details for safety, technical, production, programme, venue or other reasonably justified organisational reasons.
6.2. A change to, or non-attendance of, a speaker, session, programme element, exhibitor, investor or partner does not in itself constitute cancellation of the Event and does not automatically create a right to a refund unless applicable law provides otherwise.
6.3. If the date of the Event is changed or the Event is moved to a materially different format, we will communicate through our official channels whether existing tickets remain valid and what alternatives are available. Depending on the circumstances, those alternatives may include validity for the new date, another attendance option or a refund.
6.4. If the Event is cancelled, we will notify Attendees of the applicable arrangements and available alternatives as soon as reasonably practicable. Any refund or other rights that cannot lawfully be excluded remain unaffected.
6.5. Unless applicable law provides otherwise, airfare, transport, accommodation, visa, insurance and other third-party costs arising from cancellation, postponement or programme changes remain the responsibility of the Attendee.
7. Admission, identification and security
7.1. Admission may require a valid electronic ticket or QR code, registration confirmation, badge, wristband and, where reasonably necessary, an identity document. The name shown on the ticket or registration record may be matched against the identity document. Tickets and admission credentials may only be used by the Attendee to whom they validly relate.
7.2. Attendees must comply with lawful and reasonable safety, admission, health and organisational instructions given by the Organizer, venue operator and authorised security personnel.
7.3. The Organizer may refuse admission or require a person to leave the Event in cases involving a safety risk, counterfeit or invalid ticket, misuse of a ticket or badge, unlawful conduct, serious rule violations, harassment, violent or threatening behaviour, damage to property, or failure to comply with a lawful safety instruction.
7.4. Unless otherwise required by applicable law, refusal of admission or removal from the Event due to an Attendee's breach of these Terms, use of an invalid ticket or a ticket issued to another person, or conduct or a safety risk attributable to the Attendee does not create a right to a refund.
8. Attendee conduct
8.1. Professional, safe and respectful conduct is required at the Event. Attendees must treat other attendees, staff, speakers, startups, investors, partners and service providers with respect.
8.2. Harassment, discrimination, intimidation, threats, unwanted physical contact, intentional disruption of sessions, obstruction of access routes, damage to property, unlawful conduct, interference with the Event’s technical or security systems, and commercial promotion or solicitation without the Organizer’s permission are prohibited.
8.3. In the event of a serious or repeated breach, the Organizer may issue a warning, restrict access to particular areas or require the Attendee to leave the Event.
9. Photography, video, audio and media recording
9.1. The Event is a public-facing event and may be photographed, filmed, audio-recorded or livestreamed by the Organizer, authorised photo and video teams, broadcast crews and media representatives.
9.2. General images of the venue, stage presentations and crowd scenes may be used to report on, archive and promote current and future editions of the Event in accordance with the Privacy Policy and applicable law.
9.3. Where required by law, interviews, testimonials, focused portraits and advertising content centred on an identifiable person will be based on separate consent or an applicable participation agreement.
9.4. Attendees may make recordings for personal and lawful purposes, subject to any restrictions imposed by the Organizer, the relevant session, speaker, venue or rights holder. Prior permission may be required for commercial recording, broadcast or reproduction of sessions.
10. Networking, investment and third parties
10.1. The Event facilitates professional connections between startups, investors, partners, sponsors, speakers and other attendees. The Organizer does not guarantee the attendance of any particular person, that any specific meeting will take place, that an investment will be made, that an agreement will be concluded, or that any particular commercial outcome will be achieved.
10.2. Investment, commercial, employment, advisory or other relationships arising between Attendees or between an Attendee and an investor, sponsor, exhibitor, partner or other third party are independent relationships between those persons. The relevant parties are responsible for carrying out their own legal, financial and commercial due diligence and obtaining professional advice where appropriate.
10.3. Partners, sponsors, exhibitors and other third parties are responsible for the products, services, statements, campaigns and materials they provide. Unless the Organizer expressly states otherwise, it does not warrant those products or services and is not a party to their provision.
10.4. Where an Attendee voluntarily allows a badge or QR code to be scanned at a partner or sponsor point, any disclosure of data is governed by the Event Privacy Policy and the information provided at the relevant scanning point.
11. Intellectual property
11.1. Rights in the Event name, logo, website, brand elements, official design and programme materials, graphics and other content created by or lawfully used by the Organizer belong to the Organizer or the relevant rights holder.
11.2. Purchase of a ticket or attendance at the Event does not grant any right to use the Event brand or content for commercial purposes. Except where permitted by law, official materials may not be commercially reproduced, distributed, sold, licensed or otherwise used without the permission of the relevant rights holder.
11.3. An Attendee who provides a presentation, photograph, logo, pitch deck or other material to the Organizer for publication or use at the Event confirms that the Attendee has the rights and permissions necessary for that use.
12. Personal data
12.1. Personal data relating to registration, ticketing, payment status, admission, security, communications and other related processes is processed in accordance with the Event Privacy Policy and applicable law.
12.2. Ticketing, registration, payment and other service providers authorised by the Organizer may process personal data only to the extent necessary to provide the relevant services, carry out technical processes required for the Event, or comply with legal obligations applicable to them. Their own privacy notices may also apply to processing they carry out independently.
13. Minors
13.1. Age restrictions may apply to particular ticket categories, areas or activities and may be communicated during registration, on the ticket sales page or at the Event venue.
13.2. Where required by applicable law, registration of a minor, purchase of a ticket for a minor and other legally significant actions require the consent or involvement of a parent, guardian or other legal representative.
14. Travel, visas and other external services
14.1. Attendees are responsible for their own passports, visas and other entry documents, insurance, transport and accommodation arrangements. Any attendance confirmation or invitation letter issued by the Organizer does not guarantee the grant of a visa or permission to enter a country.
14.2. The Organizer is not responsible for decisions or services of embassies, consulates, border authorities, airlines, hotels, insurers or other independent service providers.
15. Force majeure and liability
15.1. If the Event is affected by circumstances beyond the Organizer’s reasonable control, including natural disasters, fire, war, military operations, states of emergency, civil unrest, epidemics or pandemics, mandatory decisions of public authorities, significant transport, communications or infrastructure disruptions, security incidents or similar events, the Organizer will take reasonable measures to mitigate their effect and may, where necessary, change the programme, format, date or other organisational elements of the Event.
15.2. Nothing in these Terms excludes or limits any liability or any right of a Purchaser or Attendee that cannot lawfully be excluded or limited under applicable law.
15.3. To the maximum extent permitted by applicable law, the Organizer is not liable for loss arising from an Attendee’s own decisions, acts or omissions of third parties, unrealised investment or business opportunities, indirect commercial losses, or costs relating to travel, accommodation, visas and other external services.
15.4. Attendees are responsible for safeguarding their personal belongings. The venue’s applicable lost-property procedure may be used, but the Organizer does not guarantee that lost or stolen items will be found or returned.
16. Changes to the Terms and language
16.1. The Organizer may update these Terms where there are changes in applicable law, the Event format, ticketing or registration processes, or operational requirements. The current version will be published on the official website with the date of the latest update.
16.2. The version in force at the time of a ticket purchase or registration applies to that transaction. Where a later change materially affects the rights of an existing ticket holder, the Organizer will, where reasonably practicable, provide separate notice, and rights that cannot be restricted by law remain unaffected.
16.3. These Terms may be published in Azerbaijani and English. In the event of a discrepancy, the Azerbaijani version prevails to the extent permitted by applicable law.
17. Governing law, disputes and contact details
17.1. These Terms and the relationship between the Organizer and a Purchaser or Attendee in connection with the Event are governed by the laws of the Republic of Azerbaijan.
17.2. Complaints and disputes should first be addressed through direct communication and good-faith negotiations with the Organizer. If no resolution is reached, the dispute may be submitted to the competent courts of the Republic of Azerbaijan, subject to any mandatory consumer jurisdiction or other rights applicable by law.
17.3. If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions remain in full force and effect.
